Research Assistant Management Using REDCap - Sydney Aller

REDCap is an integrative tool most commonly used for research and data collection. However, it can assist with other vital parts of managing a research lab. For example, undergraduate Research Assistants (RAs) are essential to the workflow and management of large, multi-event studies within most research programs but ensuring adequate oversight and facilitating communication within these large teams can be challenging. In addition, in can be challenging to ensure meaningful student mentorship and professional growth for large teams of students with different research interests, training specialties, experience, and participation hours. Creating a way for RAs to quickly and consistently record their time and activities in the lab, and communicate urgent information and questions to lab staff, leads to efficient and effective lab management. Additionally, establishing a “communication routine” for RAs to report concerns, achievements, and suggestions for improvement promotes an inclusive, responsive, and positive lab culture.

To meet these needs, the iCAN Lab at Purdue University created an “RA Check-In Survey” as one innovative REDCap tool for managing large groups of undergraduate RAs (15-20 per semester). This tool facilitates lab communication, details activities in which students participate, and solicits feedback from students. A secondary benefit of this survey tool is its ability to serve as a lab-experience catalog: all work experience and skills students have gained in the lab are recorded and archived. Students can request an overview of all the work they completed to help create resumes and write future graduate school or career applications. These records can also inform lab staff tasked with assigning grades or writing letters of recommendation.

This presentation will cover the creation and features of the RA Check-In Survey and how to integrate the use of REDCap Alerts and Notifications, and Reports, to achieve its full potential. The RA Check-In Survey is a simple, customizable lab-management tool that easily tracks student participation information, facilitates communication, and archives student achievement.
