How to Manage your Email Inbox - Part 1: Gmail Settings - Computer Training and Learning

In this video we cover some basics on managing your Gmail inbox.

A problem many people face with Gmail is email that ends up going to spam or is trashed, so the the Gmail user never gets the email you sent. Let’s look at some settings you can change to prevent that from happening.
We’ll also look at controlling SPAM email, which Google can be exceptionally good at doing.
Gmail Lingo - Some terms to help you understand your Gmail:
- Email inbox - This is where you receive email, i.e. incoming email
- SPAM - any bogus or unwanted email that usually comes from automated senders
- Folders - also known as ‘Labels’ are essential email place holders
- Email Filter or Rules
- You can define rules and settings that will automatically process emails. Define by ‘sender’, ‘subject’ or even words in the message.
- Category Tabs - Help Gmail use AI to move emails to Social, Promotional, etc.
In Gmail, get to the ‘Settings’ by clicking the ‘gear’-looking symbol near the top-right of the window. Once inside, you can access several settings. Here, you can access several Gmail settings pages: General, Labels, or Inbox.

1. Automate Deletion of unwanted email.
- From the search box, search for the email you want to manage, either by email address or subject.
- You can ‘Select All’ by clicking the selection box above the left side of your email list and ‘Delete’ - To Automate deletion, open an email and click the ‘three-vertical dots’ symbol above the email. Then click, ‘Filter messages like these’ - This opens a ‘Filter’ box where you can set the criteria for filtering future emails. Check the settings you want and click ‘Create Filter’.
- Now you can select what Gmail will do when it detects an email with these settings. Check the action (i.e. ‘Delete it’) and click ‘Create Filter’.
- In the future, you can edit or delete this rule by going to the ‘Gear’ icon, click ‘See all settings’, then ‘Filters and Blocked addresses’. Scroll down to the rule you set to make changes. 2. Move wanted emails to a LABEL and Bypass the Inbox automatically. - For emails you want to keep, but sort automatically, use this guide. - Select the email, open it open and click the ‘three-vertical dots’ symbol above the email. Then click, ‘Filter messages like these’ - Check the criteria (i.e. ‘email address’) and click ‘Create filter’ - Check ‘Skip the inbox’. - Check ‘Apply the label’ and click ‘New label…’ or an existing label. - Click ‘Create filter’. 3. Unsubscribe from unwanted email - If a marketing email has an ‘unsubscribe’ link, it will show next to the sender’s email above the email. - Open the email and click ‘unsubscribe’ next to the email address (may also be at the bottom of the message). - Follow the prompts and unsubscribe. - You can also ‘report SPAM’ and automatically filter emails from a sender by clicking the three-dots at the top-left and clicking ‘Report spam’ or ‘Report phishing’4. For valid emails: - Check Spam and Trash folders for valid emails. - Check Social and Promotional folders for valid emails. - Check your filter rules to make sure valid emails aren’t being filtered. - If an email is being sent to spam, open the email and click ‘Report not spam’. The email will go to your inbox and future emails from that sender won’t be filtered. We hope these tips will help you stay on top of your Gmail’s inbox.
