This video is a quick guide to managing school fee structures, family & student records, discount logic & invoicing – building on top of Business Central Finance, Accounting & other capabilities.
Finance Software for Schools leverages Business Central to streamline fee collection, enhance transparency & manage complex billing scenarios for families, including those with multiple children, separated parents & other relationships.
From the Finance for Schools menu users can enter the contact information for the family or the responsible person including preferred billing address & payment terms.
For each student in the family, add a new entry linking the Student Number to the Parent Customer Number with Relationship Type, supporting key details: enrollment status, grade & academic program.
The system references the student's grade & program to assign the appropriate fee structure template upon enrolment or change of academic profile.
Non-Inventory Items can be setup for each fee type: Base Tuition, Quarterly Fee, Extracurricular Activity Fee, Lab Fee, Registration Fee etc.
Users can assign each item to a category (Tuition Fees, Activity Fees) & use dimensions for further classification, analysis and reporting (Academic Year, Program Type).
Leverage the Subscription & Recurring Billing module to define templates for each billing period (monthly, quarterly, annually, per term).
The system supports fixed & tiered sibling discounts so the correct discount is automatically calculated & applied.
With student & fee records configured, the system uses the Recurring Billing module to generate Sales Invoices automatically for each billing cycle, itemizing all charges applying any discounts & scholarships.
Use Create Billing Proposal & Create Documents in the Recurring Billing page to generate invoices for hundreds or thousands of students in one batch – drastically reducing manual effort & ensuring accuracy.
Posted Invoices can be previewed at any time.
Invoice documents can be formatted with required branding and re-printed.
Use Business Central's native integration with Microsoft 365 and Power Automate reminder features to send payment notifications.
