Need Relief Staff? We Tested 2 Tools to Automate the Assignment In Google Workspace
Schools, care facilities, restaurants, and retail environments — this test is for you!
In this video, we test a real-world workflow that starts with an employee submitting a leave request via Google Form. The automation should:
1) Capture email, start date, and end date
2) Access a staff availability sheet
3) Compare overlapping date ranges
4) Find replacements whose availability fully covers the leave period
5) Select the first available staff member
6) Assign them a task automatically
7) Trigger reminders if needed
This is a classic relief staff assignment automation scenario.
Tools we tested:
— Google Workspace Studio
— Zenphi
What We Found:
1) Workspace Studio can handle very basic things – Form trigger and access date in the Form. Workspace Studio can't automate evaluation of overlapping conditions (find an employee who's available from date A to date B), assign a task to anyone, or even automatically send emails (it can only generate drafts).
2) The whole relief staff assignment process can be autonated end-to-end using Zenphi. Zenphi can:
— Iterate through availability records
— Compare leave dates with availability windows
— Select the first matching replacement
— Automatically assign a task to that person
— Send notifications and reminders
