The process starts when the customer sends an EDI 850. This is the electronic version of a purchase order. It includes details like the customer’s details, items they want, quantities, delivery dates, and shipping instructions.

𝗘𝘅𝗮𝗺𝗽𝗹𝗲: A customer like Walmart sending orders 1,000 units of a product.

We send back EDI 855 an order acknowledgment. This confirms we’ve received the order and lets the customer know if we can fulfill it as requested.

𝗘𝘅𝗮𝗺𝗽𝗹𝗲: The supplier confirms they can only deliver 800 units.

↳ 𝗘𝗗𝗜 𝟴𝟱𝟲 – 𝗔𝗱𝘃𝗮𝗻𝗰𝗲 𝗦𝗵𝗶𝗽𝗽𝗶𝗻𝗴 𝗡𝗼𝘁𝗶𝗰𝗲 (𝗔𝗦𝗡) 𝗦𝗛𝗜𝗣𝗖𝗢𝗡

Then came the warehouse’s role. “Once the goods are ready to ship, we send EDI 856 the delivery information. This tells the customer what’s on the way, how it’s packed, and when to expect it. It’s like giving their warehouse team a heads-up.”

Finally, Once the goods are delivered, the supplier sends an EDI 810. This is the electronic invoice, which includes billing details like item prices, quantities, taxes, and payment terms.

𝗘𝘅𝗮𝗺𝗽𝗹𝗲: The customer receives the invoice and processes the payment.

This diagram and process highlight how EDI messages like 850, 855, 856, and 810 automate and streamline the order-to-cash cycle. It’s not just about sales orders or deliveries, it’s about creating a seamless flow of information between systems, reducing errors, and improving efficiency.
