Notion AI is a generalist that searches your workspace and generates content on demand. Custom Agents are specialists that run in the background 24/7, monitor specific databases and pages, and take autonomous action based on predefined triggers and instructions without being prompted. The key differences are identity, each agent is built around a specific persona like a Senior Project Manager or CRM Strategist; persistence, agents are always active and continuously scanning your workspace for new information; and scope, agents can actually learn the context of your business over time in a way that on-demand Notion AI cannot. AI Skills are reusable prompts that enhance Notion AI but share the same limitations of not running continuously and lacking broader workspace understanding.

The testing chapter builds and runs three agents live. The Project Health Monitor queries a Projects database on a daily schedule and automatically sets a Health property to At Risk when the Last Updated field is empty or older than three days, requiring no human intervention. The Sales Ops Specialist is triggered by an @mention and reads a named meeting notes page to identify Status, Value, and Key Decision Makers, then finds the matching record in a Leads database and updates those properties automatically. The Content Multiplier attempts to research a topic on the internet and produce a blog post, Twitter thread, and LinkedIn update in one pass, which partially fails and illustrates a critical lesson: asking an agent to handle multiple complex tasks simultaneously produces diluted, poorly structured output.

The limitations chapter covers three things worth knowing before you start building. Credits will be consumed by Custom Agents starting May 2026, making data-intensive tasks across large databases expensive and better handled by standalone AI tools. Scope restrictions that protect your data can also deprive agents of context they need to perform well. Embedded web content in Notion pages cannot be reliably accessed by agents.
