Box Training for Beginners: Using shared links

When you need to swiftly share content with colleagues—whether inside or outside your company—Box Shared Links come to the rescue. These links are designed for short-term sharing, and recipients don’t need a Box account to access them.

Here’s how it works: When Box creates a Shared Link, it generates a unique URL that grants access to a specific file or folder. Shared links automatically point to the most recent version of the file, so if you update the content, the link stays current—no manual adjustments needed.

Customize access permissions based on your needs:

“Invited People Only”: The most restricted setting—only those specifically invited can access the content.
“People in Your Company”: Anyone within your company or invited to the folder gains access.
“People with the Link”: The most open option—publicly accessible, and no Box account required.

Fine-tune permissions further by controlling what people can do with the link. Set an expiration date, create a password, or choose a non-private custom URL. And when you’re ready to share, paste the link into an email or messaging app. Users who click the link will be taken directly to the updated file in Box.
