Create a Dynamic Task Report with Conditional Formatting in Excel

How to Use Conditional Formatting to Visualize Task Status and Progress in Excel
This video teaches you how to use Conditional Formatting to create a dynamic task status tracker with icons and a percentage level bar. Follow these steps to bring your Excel sheets to life and track tasks efficiently!

Scenario Setup:
C Column: Task names (C5 to C14).
D Column: Status values (D5 to D14).

Step 1: Apply Icon Sets for Status
1. Select the Status Range:
Highlight D5:D14 (the Status column).

2. Open Conditional Formatting:
Go to the Home tab, select Conditional Formatting, and click New Rule.

3. Choose Icon Sets:
Under Format Style, select Icon Sets.
Replace the default icons with ❌, ❗, and ✔️ from the icon options.

4. Adjust Icon Settings:
Tick Show Icon Only to hide numerical values in the cells.
Set the Type to Number for all conditions.
Assign the following Value parameters:
Top condition: 1 → ✔️
Middle condition: 0.5 → ❗
Bottom condition: 0 → ❌

5. Apply the Rule:
Click OK, and now typing:
1 in any cell (D5:D14) will display ✔️
0.5 will display ❗
0 will display ❌
Step 2: Add Percentage-Based Progress Reporting
1. Calculate Completion Percentage:
Select cell B2.
Enter the formula:
=SUM(D5:D14)/ROWS(D5:D14)
Press Enter to calculate the percentage of completed tasks.

2. Format as Percentage:
Select B2.
Navigate to the Number Format dropdown and choose Percentage.

Step 3: Visualize Progress with a Data Bar
1. Apply Conditional Formatting for Data Bars:
Go to Home - Conditional Formatting - New Rule.
Select Data Bar under Format Style.

2. Configure the Data Bar Settings:
For Minimum and Maximum, set the Type to Number.
Assign these values:
Minimum: 1
Maximum: 10

3. Customize the Appearance:
In Bar Appearance, select Gradient Fill and choose a Green Color for the bar.

4. Finalize:
Click OK to add the progress visualization.
Final Output:
D5 to D14: Typing 1 or 0.5 updates the task status to ✔️ or ❌, respectively.
B2: Displays the percentage of tasks completed and a gradient progress bar dynamically updates to match the completion level.
