Dispatching Paperwork
Freight Dispatcher - Must Do’s
1. Make sure you receive all the details on the load including pickup and delivery points, load temperatures, weights, required accessories, make and model of machinery, and special delivery instructions if any.
2. Make sure all paperwork is completed with your shipper including all contracts or freight quote sheets before accepting the load from the shipper.
3. Always perform a comprehensive credit check on your shipper. Do this on every load you transport. If the shipper has a negative credit report require pre-payment for the load. Remember “Buyers are Liars”.
4. Make sure all paperwork is completed with the freight broker or shipper before you dispatch your carrier for loading. This includes contracts, insurance certificates, tax information, and finally a signed rate confirmation.
5. Make sure all permits or escorts such as pilot cars, law enforcement, or utility assistance has been arranged before load movement if you’re transporting oversize loads and heavy haul.
6. Provide daily call checks to the shipper or freight broker on the status of delivery. Notify your shipper if they’re any unforeseen delays in delivery.
7. If you’re invoicing the load for the carrier you will need the original BOL, scale tickets, lumper receipts, and your rate confirmation prior to receiving payment on the load.
8. Provide the shipper with the original BOL and your invoice and await payment.
