Solve Printer Offline Issue on Windows PC or Laptop

Here are effective steps to solve the "Printer Offline" issue on a Windows PC or laptop:

Check Printer and Connectivity

Make sure the printer is turned on and properly connected (USB or Wi-Fi).

Confirm the printer and PC are connected to the same Wi-Fi network if wireless.

Check cables for damage and ensure they are securely plugged in.

Restart your printer by turning it off, waiting a minute, and powering it on again.
2) Run Windows Printer Troubleshooter

Open "Settings" -- "Devices" -- "Printers & scanners."

Select your printer and click "Manage."

Click "Run the troubleshooter" and follow prompts to detect and fix issues.

3) Clear Print Queue and Restart Spooler

Cancel all pending print jobs from the print queue.

Stop the Print Spooler service by running services.msc, locating "Print Spooler," and stopping it.

Navigate to C:\Windows\System32\spool\PRINTERS and delete all files in this folder to clear the print queue.

Restart the Print Spooler service.

4) Update or Reinstall Printer Drivers

Go to "Print Server Properties" -- "Drivers" tab.

Remove the existing driver for your printer.

Download and reinstall the latest driver from the printer manufacturer’s website.

Alternatively, remove the printer from Windows, restart the PC, and add the printer again.

5) Set Printer Online and Default

Open "Settings" -- "Bluetooth & devices" -- "Printers & scanners."

Select your printer and click "Open queue."

In the print queue window, click "Printer" and uncheck "Use Printer Offline" if it is checked.

Set your printer as the default by selecting the printer and clicking "Set as default."

If Windows manages the default printer automatically, disable that option to make it manual.

6) Additional Checks

Verify there are no error lights or messages on the printer.

Try connecting the printer using a different USB port or cable if wired.

For wireless printers, try connecting via USB to isolate network issues.
