Email-to-Task Automation with ClickUp & Motion

Designed and implemented an intelligent email-driven task automation that converts incoming or forwarded emails into fully structured ClickUp tasks with smart assignment logic.

This automation monitors emails for specific signals such as assignee tags and due dates. When an email is received, it automatically creates a corresponding task in ClickUp using the email subject as the task title and the email body as the task description, ensuring no actionable request is missed.

Key capabilities include:

Automatically parses emails to detect assignee information and due dates.

Creates ClickUp tasks in the appropriate task list with complete contextual details.

Smart assignee handling:

If an assignee email is mentioned and the user exists as a ClickUp member, the task is automatically assigned to that person.

If no assignee is mentioned, the task defaults to the owner’s personal task list.

Seamless cross-platform scheduling:

When a task is assigned to another user, it is also automatically added to that person’s Motion (UseMotion) account for time-blocked scheduling and productivity planning.

This automation eliminates manual task creation, reduces assignment errors, and ensures tasks flow effortlessly from email to execution across ClickUp and Motion—creating a fully automated, email-to-action workflow.
