This Behind the Scenes Process is for my contracted client who was hitting $10 Million+ Per Year in his various coaching businesses.

Please note: One of his businesses was shut down in March 2023. For this reason, I cannot confirm current or projected revenue.

At the time of working to assist this client, he outreached and asked for help to mitigate risk on this 20K cash refund request.

His client paid $40K USD for a mastermind and on the start date signed a contract that outlined specific deliverables he would deliver over a 12 month timeframe. He alleged his client was not utilizing all the deliverables and her messages to him stated she was going to try an alternative strategy and wanted the refund to pay for that. Her refund request occurred in month 6. His records confirmed services and deliverables were provided and her contract stated a zero refund policy.

The client paid via Stripe and as it was within the first 6 months, a chargeback or dispute had increased probability.

In your own situation if you have a client requesting a refund, aim to get on the phone together first or have a face-to-face (example: using Zoom) interaction, if possible. This will clear the air and help you identify what's going on, which may minimize risk or the chances of the client disputing.

It's important to get on the same page and find common ground.

From there, iron out how to move forward and identify a path to repair the current relationship. Hear them out and be fully present, then pivot to transparently confirm what was provided, when it was provided and what the client originally agreed to. 

It would be a solid plan to show your client log and all dates or documentation you do have so any missed expectations for either parties are resolved. Do your best in this interaction to take nothing personal.

Your client may be experiencing a scarcity mindset, lack of perceived value or having some external situation that is creating a heightened emotional state. Come from curiosity first.

Create one outcome to achieve together. If that is to refund, provide only partial refund if that is your policy. If you have a zero refund policy and provided all deliverables up to that date, honor what was in writing. Seek legal counsel or an attorney to confirm what can be enforced.
